If you’re a highly-organized administrative professional with a flair for improving processes and creating a fun, productive office environment, we’d love to talk with you! We’re seeking an Office Manager to handle a variety of office operational and recruiting activities within our fast-paced, entrepreneurial culture.

The Office Manager will be responsible for the smooth operation of our Stamford headquarters office, and will also coordinate office support for employees in our Nashville, TN office. S/he will coordinate everything from team lunch and training scheduling, to liaising with IT support to ensure office equipment and technology are running smoothly. Reporting jointly to the CEO and Chairman, the Office Manager will also provide administrative support for some accounting and HR processes.

Specific job responsibilities for the Office Manager include:

Office Operations

  • Managing office supply/photocopy/mail meter vendor relationships and purchasing supplies and services as needed

  • Organizing all office supply and equipment inventory, resulting in meticulous and well-ordered storage room and supply cabinets

  • Acting as point person for all office access needs, including handling key card and parking pass distribution for new and existing employees

  • Ensuring employees have proper working office equipment (laptop, phone, etc), including liaison with 3rd party IT or phone support for troubleshooting

Administrative Support

  • Managing inbound and outbound mail

  • Supporting the Accounting department with mailings, distribution of paychecks, and related support

  • Planning in-house and off-site activities, including parties, intern activities, and company outings

  • Coordinating employee travel for events

Recruiting and HR support

  • Coordinating recruiting activities, including collaborating with functional leaders on job descriptions, managing postings, screening resumes and scheduling interviews

  • Managing intern/co-op programs, including recruiting interns and acting as program manager for intern orientation, training, and summer activities

  • Overseeing training for staff, including monitoring online training completion and scheduling on-site training sessions

Qualifications:

The Office Manager will possess the organizational and time management skills required to succeed in our fast-paced entrepreneurial environment. In addition, the ideal candidate will be an enthusiastic team player, adept at working with employees and third parties to solve problems and create efficiencies throughout the office.

Specific qualifications for the Office Manager include:

  • Relevant experience in an office manager or administrative manager role, ideally within a corporate business environment

  • Familiarity with recruiting processes, including experience interviewing job candidates

  • Strong computer skills, including working knowledge of the Microsoft Office Suite and/or Google Suite

  • Associate’s degree or higher, preferred
